Across all my roles, I have managed the tender bidding process involving meticulous preparation of proposals encompassing financial and technical data, both quantitative and qualitative. At XYZ I prepared a large tender from scratch. This involved formulating the budget ($10M) for a key component, forecasting expected costs over a 24-month duration from over 50+ suppliers worldwide, factoring in delivery charges and currency exchange rates, as well as margins and contingencies (such as delays) to determine profitability and price competitiveness. Subsequently, when the contract was awarded, I was tasked with managing and monitoring expenditure. I continually tracked expenses by monitoring suppliers’ orders, and updated financials to determine actual spend and overall profitability. In the process of monitoring expenses, in several instances I found that clients were unable to hire the company’s services because quoted prices were too high. To commence the process of resolving this issue, I analysed expenditure across the board and identified that the hiring of casual staff was a significant cost to both the clients and the company. To counter and resolve this, I instigated a change from hiring/paying casual staff to using volunteers and university students and incentivised them with certificates and recommendation letters. This strategy was instrumental in maintaining expenditure in line with the budget and contract stipulations moving forward through to the end of the contract.
